We are thrilled to announce the launch of Hall Pass, Hāpara’s newest tool designed to help educators reclaim instructional time and enhance student safety. Hall Pass offers a streamlined, digital approach to managing student movement, providing educators and administrators with the visibility and data they need to foster a secure and productive learning environment.

The verdict is in on Hall Pass: Easy-to-use from day one

Schools across the United States and Canada using Hāpara Hall Pass are already seeing positive results. Feedback from educators has been overwhelmingly positive and focused on how easy the tool is to use. 

Once it is rolled out to students and teachers, they can get started using it right away, with no additional training needed for issuing passes and monitoring how students are using them. Even better, schools see the impact of using a digital hall pass system right away because it helps them set clear expectations about movement in hallways.

Why do you need a digital hall pass?

The hall pass struggle is real. On a daily basis, educators are dealing with multiple requests to go to the bathroom, the nurse, or locker, and it’s hard to keep track of that while trying to teach a class! Students have to carry a dingy clipboard as a pass or keep track of their own passes allotted for the year in the back of their school planner. 

  • Enhanced accountability: Students can request a pass and know when it’s their turn to go. It creates greater accountability and helps them learn to better manage their time, because it creates a digital record of their pass use. 
  • Increased instructional time: It helps set expectations with students about when they can request a pass and when it will be approved. For example, pass requests can be turned off the first and last 10 minutes of class. Teachers don’t have to waste time with students asking to go to the bathroom all the time. It also establishes a data trail and provides signals on who might be using passes too often or staying gone too long. 
  • Data-driven insights: See hot spots for pass use across campus. Spot patterns of inappropriate use and intervene when necessary. 
  • Reduced hallway congestion: Admins can set campus-wide or location-specific capacity limits to prevent overcrowded hallways and restrooms.

Tips for digital hall pass rollout

Start with a clear “why,” not just the tool. Staff and students adopt hall pass systems faster when the rollout is framed around outcomes:

  • improving student safety/accountability
  • reducing hallway congestion
  • minimizing classroom interruptions
  • creating consistent expectations across campus

Keep the workflow extremely simple. Consider bookmarking Student Dashboard for quick access for learners. Consider the mobile version for SRO/Security monitoring. Start with core use cases:

  • Restroom
  • Nurse
  • Office
  • Counselor

Train teachers on procedures, not just buttons. Teachers need alignment on:

  • when to approve/deny passes
  • expectations for one-student-at-a-time limits
  • handling emergencies
  • consequences for misuse
  • what to do during drills/lockdowns

Communicate student expectations early and consistently. Students should know:

  • how to request a pass and end a pass
  • time limits
  • accountability rules

Have backup processes. Define in advance:

  • what happens if Wi-Fi goes down
  • substitute teacher procedures
  • device failure plans
  • emergency evacuation workflows

For teachers 

Since the release of Hall Pass, the Hāpara Team continues to make improvements to the tool. In addition to teachers and school leaders’ ability to create passes, they can now override location concurrency, max student daily pass, and hallway concurrency limits when creating and approving passes. 

This is helpful when a student needs to take medicine in the nurse’s office at a specific time but the hallway is at maximum capacity. Or, there may be a student who needs unlimited bathroom access due to a health condition. 

The default for this setting is disabled, so it will need to be enabled in the Hāpara Admin Console if schools want to allow this option. The teacher will be warned of any limit they will be overriding when they create or approve passes.

For admins 

There are even more updates on the admin side of Hall Pass that make setup and management even easier. Admins can allow teachers to override limits such as location concurrency, max student daily pass, and hallway concurrency. Sometimes there will be exceptions that need to be made due to 504 accommodations, medical needs, and unforeseen circumstances like a parent picking a child up early. 

The default is set to disabled, so admins will need to enable this in their Hāpara Admin Console in order to allow teachers the option.

There will be times that schools want to stop any passes from being issued, for example, during state testing or an emergency drill. For times like this, admins can now remove the ability for students to create their own passes schoolwide. Admins can also restrict passes to be class specific. For example, maybe they still want to allow passes for a class that isn’t involved in schoolwide testing. They could do that by just selecting the classes they want passes to show up for.   

The Hāpara Team has also implemented a time-saving layout in the Admin Console to make configuring pass locations simple. Admins can now duplicate similar pass locations instead of reinventing the wheel for each location. They’ve also added default colors and icons to categories in the pass location configuration, to make setup of locations quicker. 

Finally, admins can configure pass colors and add categories to pass types. This makes it easy for teachers and students to select from different pass types like the bathroom, library, or locker.
